2211 Neighborhood Inspections

2211-01 Nuisance / DVPP / Sewer Break Cases – Lien

Series is used to document work completed by the City or its agents to alleviate a nuisance, the cost of which is assessed to the property owner. May includes Nuisance and Disabled Vehicle on Private Property (DVPP) and Sewer Break cases in which: an abatement has been performed; charges have been paid to ONI prior to assessment; assessed amount has been reduced or cancelled after administrative review (after lien is in place); a Nuisance waiver has been issued. Records may include initial intake complaint, notice to remove nuisance, work order notice, final notice, search warrant, return of search warrant, before and after photos, videotapes, contractor paperwork, inspector’s notes, contractor actual work and charges, a copy of the bill and other correspondence. 

Retention: 5 years after lien dismissed or paid in full.

2211-02 Nuisance / DVPP / Sewer Break Cases – No Lien

Series is used to document City activities undertaken in response to a nuisance, DVPP or sewer break for which a property lien is never assessed.  Examples include: illegal dumps and Right-of Ways ; corrective work done by owner (DBO); vehicles which are removed by owner before being towed.  Record copy is maintained in the TRACS system.

Retention: 5 years after last action

2211-03 Property Maintenance Code Housing Cases – Lien

Series is used to document work completed by the City or its agents to inspect and alleviate possible violations of the city’s Property Maintenance Code, the cost of which is assessed to the property owner.  Records may include correspondence, initial intake complaint, notice of violation – property maintenance code, search warrant, return of search warrant, inspection photos, hearings office complaints, inspector’s notes,. 

Retention: 5 years after lien dismissed or paid in full.

2211-04 Property Maintenance Code Housing Cases – No Lien

Series is used to document City activities undertaken in response to a possible violation of the city’s Property Maintenance Code, for which a property lien is never assessed – such as cases in which the property owner corrects the problem before any further action is necessary.  Record copy is maintained in the TRACS system.

2211-05 Residential Inspection Housing Cards

Series consists of housing inspection cards for properties that are in violation of Property Maintenance Code.  Cards include information on individual properties and a case summary including violations and repairs and contact with property owner.

2211-06    Recordings

Series is used to document recordings with the County for possible code violations and liens against the property.  Series also documents satisfactions of recordings. Paper original maintained by County.  City copy maintained in TRACS system.
