5018-01   Firefighter Training Records

Series is used to document the training and education classes taken by Fire Bureau Personnel. Series is also used to summarize firefighter's station assignments. Records include seminars attended, classes taken, certificates of completion, tuition information, grade slips, FSAB (Fire Standards Accreditation Board) records, etc. Records include Fire Academy records and special training such as EMS, CME (Continuing Medical Education), SERT (Special Emergency Reaction Team), HazMat, Rescue, etc.

Retention: 10 years after separation from bureau.

5018-02   Training Manual

Series is the detailed information on the proper procedure to be used by firefighters. Series is used as the basic training document for new recruits. Records give specific and detailed directions on how to do specific functions in the Fire Bureau. The training manual includes information on hoses, ladders, ropes and knots, tools and equipment, etc.

Retention: 6 years after superseded.

5018-03   Training Memorandum

Series is used to announce training opportunities and changes in training procedures. Series documents announcements that are temporary or short term in nature. Records consist of announcements and memos about general training opportunities and make notices of changes in training procedures. Series also consists of general announcements concerning training and training facilities.

Retention: Retain as needed or until superseded.

5018-04   Training Bulletins

Series is used to document policies and procedures to be followed by Fire Bureau personnel. Series gives detailed information on safety issues and how to operate equipment. Series is used by the stations as a reference to policies and procedures established to ensure the safe and proper use of equipment and to ensure the safety of firefighters. Records give detailed instructions on how to operate equipment, what to do in certain situations and instruct personnel in safety issues. Examples of records include how to operate a chain saw, what to do when working around downed electrical lines, how to properly climb a ladder, etc.

5018-05   Operational Guidelines

Series is used to document general policies and procedures to be followed by Fire Bureau personnel. Series gives general information on procedures to be used in certain situations. Series is used by the stations as a quick reference to policies and procedures to be used in general situations. Examples of operational guidelines include high rise procedures, information about the incident command system (ICS), safety issues at emergency responses, etc. series also includes guidelines for special apparatus such as the Marine Guidelines, BrushRig Guidelines, etc.

Retention: 6 years after superseded.

5018-06   Greater Alarm Information

Series is the records which document Portland Fire Bureau responses for incidents that go to three (3) alarms or greater. Series is used as a training tool for future grater alarm incidents and for Battalion Chiefs. Records include maps and diagrams that document the placement of equipment, layout of hoses and map the scene of the incident. Records may include a critique of the alarm and response and other general information about the incident.

Retention: Retain as needed. Destruction of material is subject to Archival Review.

5018-07   Firefighter Death Records

Series is used to track deaths of firefighters who have served in the Portland Fire Bureau. Series is also used to arrange for funeral platoons. Record is a register that includes name of firefighter, rank at time of death or retirement, age, date of death, burial location, etc.

5018-08   Television Program Tapes

Series is used to document television shows broadcast on the closed circuit television network. Television shows are used to inform personnel of items of interest to the bureau. Records are video tapes of regularly scheduled television programs. Programs include informal shows and call in shows. Examples of programs include Chief's Corner, Medical Matters, Firefighter Digest, etc.

Retention: 2 years. Keep representative sample of programs for historical perspective

5018-09   Television Schedule Records

Series is used to track TV programs that are scheduled to be shown on the closed circuit network. Records are the daily calendars and working documents showing when programs are scheduled to run and when programs are actually shown. Records include studio use logs.
