6206-01   Structures Plans and Blueprints - Major Changes and Repairs

Series is created to document major changes made to city owned structures. Record is a copy of the blueprint for major renovations and repair projects done by bureau personnel on existing structures.

Retention: Life of structure. Destruction of material subject to archival review.

6206-02   Structure Inventory Records

Series is created to document visual inspections and repairs made to structures by city personnel. Record contains inspection reports, plans, repairs done, date inspected, and inspector's notes. Examples of structures include bridges, guardrails, stairways, retaining walls, fences, etc.

Retention: 2 years after removal. Move major repairs and changes to blue print file.

6206-03   Structures Inventory Map

Series is reference maps used to document the location and type of structure within city boundaries. Series consists of wall maps marked with location and type of structure.

Retention: Until superseded
Record Copy? Yes

 

6206-04   Structures Photographs

Series is created to document changes made to structures. Series consists of photos (color and B&W), slides, and negatives of city structures. Photos may be taken before, after or during change.

Retention: Permanent
Record Copy? Yes

 

6206-05   Cost Accounting Records

Series is created to document actual costs on projects. Series is used as a reference for estimating costs on future projects. Records include detail costs, number of man-hours, material used, equipment used, etc.

Retention: 5 years
