7104 ABANDONED AUTO RECORDS

7104-01   Abandoned Auto Intake Records

Series is used to document requests for tows and/or abandoned auto inspection. Series is created from citizen requests by phone, voice mail, police/parking patrol, commissioner's office, and computer tickler files. Records may include complainant name, address, vehicle location, district, date received, auto make and model, license number/state, inspection records and other information about automobile or tow case number. Note: Some records contained in these files may be exempt from disclosure under ORS 192.501 through 192.502. Consult your agency's legal counsel for assistance before releasing information.

Retention: 3 years

7104-02   Auto Inspection Records (Recheck Records)

Series is created to document field inspections of vehicles. Series is created when the automobile is inspected and the owner is warned or the auto is towed. Record may include vehicle information (VIN, year, model, etc.), complainant name, location of vehicle, location, case number, color, comments, and other related data.

Note: Some records contained in these files may be exempt from disclosure under ORS 192.501 through 192.502. Consult your agency's legal counsel for assistance before releasing information.

Retention: 1 year

7104-03   Automobile Sales Records

Series is created to document cars that have been towed and sold to the tow companies. Series is the invoice for cars sold. Series may include sales information, sales price, vehicle information, tow number and other related data.

Retention: 2 years after disposition of vehicle

7104-04   Abandoned Auto System

Series documents all aspects of an abandoned auto case. Series is used to create reports as a reference for abandoned auto cases. Records may include complainant information, intake information, warning data, rechecks/inspections, warning/tow notices, sale information, hearings information, case closure data and other related records.

Note: Some records contained in these files may be exempt from disclosure under ORS 192.501 through 192.502. Consult your agency's legal counsel for assistance before releasing information.

Retention: Until superseded. Keep back-up tapes no longer than 3 years.
