9008-01   Annexation Records

Series is used for reference to write annexation legal descriptions to merge new descriptions with old. Records include annexation maps, legal descriptions, working drawings, and deed descriptions used in past annexations. Occasionally used to establish date of a property annexation.

9008-02   Mapping Records

Series is used as a reference and is created in response to specific PDOT (Portland Department of Transportation) requests. Records consist of diazo duplicates of microfilm and maps including operational maps (9008-01), street construction drawings (9008-12), county road maps, right-of-ways, street improvements and base maps. Maps show locations of streets, curbs, sidewalks and right-of-ways.

Retention: Until superseded. Take and maintain a snapshot in time every 10 years (years ending in zero) and send to archives. Destruction of maps is subject to archival review.

9008-03   Reference Maps

Series is reference maps used to determine locations and construction information. Series consists of maps and plans from outside agencies.

Retention: Retain as needed

9008-04   Railroad Crossings Records

Series is used document and locate right-of-ways given to rail companies. Records include maps, ordinances, correspondence, specifications, MSD reports and tests, inspector's reports, photos and negatives.
