2002-01   Council Member Absence Notifications

Series is used by Council members to notify Auditor of absence from City Council meeting. Records include memos and notes indicating Commissioner's name and date of anticipated absence from Council. In most instances, the reason for the absence is also indicated.

2002-02   Utility Reports - Quarterly

Closed series of quarterly reports of franchise/license filed pursuant to Code, Charter or franchise ordinance. Series is a cumulative report to Council which includes date of report, address of business office, date of organization, number of stockholders, number of shares outstanding, principal officers, plant and property statement, capital stock, long-term debt, balance sheet, earned surplus, statement of accounting principles and practices, income account and letter of transmittal. Reports are currently filed with the Office of Cable and Franchise Management.

2002-03   Portland Development Commission Resolutions

Series is the resolutions of the Portland Development Commission (PDC) filed with the Auditor's Office as required by the City Charter. Series includes copies of resolutions with supporting documentation, date of adoption and signature of PDC chairman and secretary.

2002-04   Insurance Required By Ordinance Or Permit

Series is the liability insurance requires by ordinance/permit with the City endorsed as an additional insured. Records include certificate of insurance, letters and copies of ordinance, and other related information. Series includes insurance required for hazards such as trees, steps, retaining walls, sidewalk benches, jutting or overhanging buildings, sidewalk cafes, etc. Series also includes log and computer index used to track insurance and expiration of permits.

Retention: 6 years after expiration.
