9301-01 Urban Services Annexation Case Records

Series is used to document specific annexation projects. Record is the case file maintained by name of area to be annexed into the city. Record includes copies of meeting notices, copies of legal metes and bounds describing annexed area, map of annexed area, survey results of voter's attitudes on annexation, correspondence, copies of council packets, service cost analysis, and Boundary Commission reports.

9301-02 Urban Services Delivery Records

Records series is maintained to gather information concerning the provision of services to newly annexed or soon-to-be annexed areas. Series includes histories of problems in delivering urban services in other locals, city agencies' responses to citizens requesting action, maps of areas soon to be annexed, copies of ordinances and resolutions, and neighborhood needs studies.

9301-03 Urban Services Background/Working Records

Series is maintained as background information, lists, memos, and correspondence relating to specific areas and is used to create intent areas for annexation. Records include working lists of proposed annexations, maps, memos, correspondence, and reference material from other jurisdictions.

9301-04 Annexation Maps

Series is used to document city boundaries and annexations of properties into the city. Records are maps of the city (usually small scale) that show information such as city boundaries, annexation areas, annexation date, annexation number, etc.

Retention: Retain as needed. Destruction of material is subject to archival review.

9301-05 Annexation Logs

Series is used to index, track, and log annexation case files. Record consists of case number, name Boundary Commission approval number, method of annexation, action taken, status of annexation, quarter section map numbers, vicinity of annexation and other notes added by annexation staff.
