Permits for Wedding Reservations will be held as a lottery for 2018

You may enter the lottery at any time from November 13, through December 14, 2017. Lottery drawing will take place on December 15, 2017. Please read the information below carefully for details.

Due to the extensive repairs to the Portland Building, the PP&R Customer Service Center has moved. Our new location at 111 SW Columbia Street, is not able to accommodate our traditional wedding day reservation line. In searching for another way to provide fair and equitable access for couples looking to book a wedding location in 2018, we determined that a lottery system would provide a request window to accommodate wedding hopefuls without over burdening our new, smaller location. Therefore, 2018 will be the first year Portland Parks & Recreation will use a lottery-format reservation request system for weddings in Portland parks. 

Starting November 13, 2017, PP&R will begin taking Wedding Reservation Requests for the 2018 lottery. Applicants can submit a reservation request via our website or with a Customer Service Representative. There is a $110 Non-Refundable Application and Processing fee to enter your request.

Once the lottery closes, the reservation requests, which are assigned a tentative permit number, will be drawn and assigned a lottery ranking. Customer Service staff will process requests in order of lottery ranking until all request have been processed. General wedding request will be accepted beginning January 2, 2018, at 8:00am.


The Wedding Reservation Lottery begins Monday, November 13, at 8:00am, and closes on December 14, at 5:00pm.

How will it work and when will it occur?

Q: What is the reason behind holding a wedding lottery for 2018 wedding reservations?

A: The Portland Building will be undergoing seismic and system upgrades beginning Fall 2017. Due to the extensive repairs to the Portland Building, the Customer Service Center has moved. Our new location, 111 SW Columbia on the 6th floor, is not able to accommodate our traditional wedding day reservation line. In searching for another way to provide fair and equitable access for couples looking to book a wedding location in 2018, we determined that a lottery system would provide a request window to accommodate wedding hopefuls without over burdening our new, smaller location. Therefore, 2018 will be the first year Portland Parks & Recreation will use a lottery-format reservation request system for weddings in Portland parks.


Q: Do I have to enter the lottery to make a reservation for my 2018 wedding?

A: No, you can wait until January 2, 2018, when we will begin taking wedding reservations on a first come, first served basis. Please note:

  • Lottery participants will have already secured their reservations.

  • New 2018 fees will apply.


Q:  Is the money that I paid to be in the lottery a deposit? Is it refundable? Will it be applied toward my permit fees?

A: The $110 is not a deposit. It is a non-refundable application processing fee. You will not be included in the wedding day lottery without paying the non-refundable application processing fee.


Q: How do I confirm that my Wedding Reservation Request has been entered in the lottery? Will someone notify me that my information was received?

A: A PP&R Customer Service Representative will contact you directly by phone to confirm your submittal - calls will be made between 8:00am and 9:00pm, 7 days a week. You will also receive an email confirmation providing you with a reservation request number. You may also contact the Customer Service Center at 503-823-2525 for more information.


Q:  When and how do I find out what my lottery ranking is, and how will I be informed?

A: PP&R will announce the randomly drawn lottery order on December 15, 2017. The lottery order will be posted the PP&R website and Facebook page for all applicants to view.


Q: How do I know what my wedding will cost?

A: All reservation requests submitted though the lottery will be charged according to the 2017 Wedding Fees. View our 2017 Wedding Brochure to familiarize yourself with the potential costs of your permit.


Q: What if I am not able to pay all fees at once?

A: Only the Application Processing fee is due at the time of your lottery request. All other fees are due 60 days prior to your event. This is a new policy for 2018.


Q: How can I check availability of locations?

A: By contacting the Customer Service Center at 503-823-2525 you can speak with a representative to check availability, as well as receive the most up-to-date information about any annual events or maintenance closures that may impact availability. Phone hours are Monday - Friday, 8:30am - 5:00pm.


Q: Where do I find information on reservable wedding locations?

A: View our wedding brochure by clicking here. You can also contact the Customer Service Center at 503-823-2525 to speak with a representative, and request to have a brochure mailed to your address. Brochures can also be obtained at the Customer Service Center located at 111 SW Columbia Street, Suite 660, Portland, OR 97201. Please note that 2017 wedding fees will be in effect until December 31, 2017. New fees will go into effect in 2018.


Q: How can I sign up for the lottery?

A: You can:

  • Submit your request online for the 2018 wedding day lottery, visit our reservation website at apm.activecommunities.com/portlandparks/Reserve_Options.

  • Contact us by phone at 503-823-2525 Monday-Friday 8:30am-5:00pm.

  • Visit us at the Customer Service Center, which is located at 111 SW Columbia Street, Suite 660, Portland, OR 97201.


Q: Why do you need more than one contact phone number?

A: Following the selection of lottery numbers, we will begin processing the requests in the order they were drawn. If any of your choices are not available, we will call you to find an alternate location that will work for you.


Q: How many times can I enter myself in the lottery system?

A: Only one entry per wedding couple. Duplicate entries will be removed. Application Processing fees will not be returned for duplicate entries, and are not transferable.


Q: When will the lottery drawing be held?

A: The random lottery drawing will occur live on our PP&R Facebook page on December 15, 2017 at 10:00am. The full results will be posted to this page after the drawing.


Q: How will my place in the lottery be determined?

A: Each request will be given a unique number at the time you apply; either through your confirmation email if applying online, or from the Customer Service Representative if applying on the phone or in person. On the day of the lottery event, each number will be placed in a large glass bowl. We will mix the contents of the bowl thoroughly. Then, we will draw the numbers from the bowl one at a time. Each number drawn will be assigned a new lottery ranking in the order they were pulled. The first drawn will be given the ranking of #1, the second #2, and so on, until all requests have been assigned their ranking. 

 

POST-LOTTERY INFORMATION

What happens after the lottery takes place?

Q: How soon after the lottery will I have a space reserved?

A: PP&R will begin processing requests the afternoon of December 15, 2017 based on lottery rankings. Our goal is to reserve and contact each couple before 5:00pm on December 22, 2017. All ranked requests will be completed by January 1, 2018.


Q: What happens if none of my choices (dates or locations) are available, do I lose my money?

A: In the event that your date(s) and/or location(s) are not available when your request is processed, one of our highly trained Customer Service Representatives will contact you and do their absolute best to help you find an alternative.


Q: Can I track where I am in the queue? 

A: You can follow our progress and your number on Facebook!


Q: If for some reason I miss your phone call, am I out of luck?

A: If the message is not returned within two hours, we will move to the next request. Please call us back once you are able, and we will process your request at that time.


Portland Parks & Recreation is the proud steward of more than 200 parks, gardens, and natural settings that can be reserved for weddings and/or receptions. These lovely settings are the perfect locations for ceremonies and celebrations. A few things to know:

  • While weddings may be scheduled at a picnic site, receptions cannot be scheduled in a wedding garden (only the ceremony portion).
  • City code requires that a permit be obtained for any wedding in a public park where guests are invited. Permits are issued by the Portland Parks & Recreation Customer Service Center. 
  • Weddings are not permitted at the Japanese Garden, Pittock Mansion and surrounding acres, or Portland International Raceway.
  • Check the wedding brochure for locations, fees, policies, insurance, and reservation information.
