2018 Movies Event Application

Want to bring free outdoor concerts and movies to your community?

Let’s work together to create a great neighborhood event.
Summer 2020 marks 14 years of free movies and over 117 years of free concerts throughout Portland. Summer Free For All builds partnerships with a variety of community organizations to produce memorable events that enrich the cultural fabric of our city. Whether it’s dancing to your favorite local band or sitting under the stars to watch a movie, these experiences are only possible with the help of organizations like yours!

What We Do

Every Summer Free For All concert and movie event is free to attend. We work with you to plan the event and provide the logistics “day-of”, and you engage with your community to make it a success.

The following is provided by Portland Parks & Recreation for all Summer Free For All events:

  • Onsite staff for event setup, event production, and clean-up
  • Local food vendors (based on availability)
  • Park permits and noise variances
  • Portable restrooms
  • Marketing via the Summer Free For All guide – in print and online
  • One event banner
  • Program-wide sponsorship fundraising efforts

We also provide the following at concerts:

  • Talent – we book Portland’s most sought-after performers!
  • Professional stage and sound system
  • Sound engineers

At movies we also provide the following:

  • Movie licenses and DVDs – tell us your top three movie picks!
  • Inflatable movie screen, projector, stage, and sound system
  • Pre-movie entertainment – selected from a diverse roster of local bands, DJs, dance instructors and more
  • Free popcorn!

What You Do

Your primary role as a Summer Free For All community partner is to engage with your neighbors and community members to make the event truly a community affair. We encourage you to make your event unique. Some ways groups have customized their events in the past include hiring face painters, providing arts and crafts, or hosting a neighborhood potluck.

You are also responsible to meet the community contribution for your event.

  • The community contribution for each concert event is $1,500.00.
  • The community contribution for each movie event is $1,000.00.

Keeping the community contribution low (approximately 25% of the event cost) allows the program to ensure equitable access for all Portland communities. Raising funds for your event requires time and commitment from dedicated community volunteers and we encourage community groups to raise funds in advance.

Common fundraising methods include:

  • Local business and community organization sponsorships through our online form at portlandoregon.gov/parks/sffasponsor
  • Pre-season community fundraisers (raffles, auctions, online fundraising)
  • Grants

Event Application and Timelines

  • January 31, 2020 - Applications due
  • February 14, 2020 - Acceptance notifications
  • June 1, 2020 - Payments due

Due to high demand, we limit one movie or concert event (single concert or concert series) per community group.

Summer Free For All often receives more applications for events than can be accommodated in our summer schedule. Applying to host an event does not guarantee selection.

If we receive applications for more events than we can schedule, community groups whose events were cancelled in 2019 get priority. Other applications will be weighed giving preference to organizations that represent culturally-specific, access-based, or under-served communities; organizations that partner with other organizations to put on the event; and events that would most evenly spread the geographic distribution of concerts and movies throughout the city.

  • You will be placed on our priority list for an event the following year.
  • 100% of your community contribution will be refunded.
  • Cancelled events will not be rescheduled within current event season.

Frequently Asked Questions

What can we do to promote our event?
Some ways to get the word out include local business sponsorships, partnering with other community groups to host the event, pre-summer fundraisers, creating a unique poster/image for the event, and using social media. However, you may not use PP&R logos as it takes special permissions and guidelines.

How can we fundraise?
Contact local businesses and community organizations to see if they want to sponsor your event. Sponsor benefits for 2020 can be found at portlandoregon.gov/parks/sffasponsor. Other options include hosting a pre-event community fundraiser such as a raffle, auction, or online fundraiser or applying for grants.

When does the concert start?
Concerts begin at 6:30pm and end by 8:30pm during the week. On weekends, concerts begin at 6:00pm and end by 8:00pm.

When does the movie start?
Pre-movie entertainment begins at 6:30pm, followed by the movie just after sunset. Sunset times vary throughout the summer, and the movie start time can also be affected by clouds, street lights, or nearby trees. We will start the movie when it is dark enough to clearly see the screen.

Can we have a barbecue?
Permits are required for barbecues in any Portland park. Please contact Oregon Health Authority and Portland Fire & Rescue.
