My name is Robert Turner, and I am the Property Manager of The Crystal Properties for McMenamins in downtown Portland, which includes The Crystal Ballroom, a 1,500-capacity entertainment venue located at 1332 W Burnside. I began my role as the General Manager of this amazing property on April 1, 2024.
I am writing this letter regarding the recent visit by Fire Marshal Magnolia Blackwood on Sunday, April 13, 2025. On this day, we were hosting an event called the Great Northwest Clothing Swap, organized by a local production company. This event has become well-known and attended over the past few years. I was on-site to check in with staff and ensure the event was running smoothly when I received a message that Magnolia was onsite and needed to speak with me regarding the event.
Upon meeting Magnolia, they introduced themselves and asked if I had a permit for the event. I explained that I had submitted multiple plans last year for various event profiles and setups, which were on file at the permit department. I distinctly remember doing so because I had to visit the office several times due to its unusual hours of operation. Magnolia then informed me that they had not seen these plans come across their desk. I assured them that I would email the approved plans once I returned to the office.
The following day, I sent the approved plans to the provided email address, assuming all was well and that we would simply renew the permits when the time came. The approval date on the plans is July 23, 2024, so I assumed we had until July 23, 2025, to renew. However, I later realized that I was mistaken; the permit is annual and needed to be renewed by December 31, 2024, not one year from the issued date.
Therefore, I am writing this letter to request an appeal and forgiveness for this honest mistake. As the new property manager of The Crystal Ballroom, this first year has been a learning experience, and this situation is part of that process. I sincerely believed we had until July 23, 2025, to renew and was fully prepared to do so. I apologize for any misunderstanding and would greatly appreciate the opportunity to keep our annual event permits in place.
I have spoken with Fire Marshal Magnolia Blackwood and reviewed the guidelines and requirements moving forward. I will ensure that everyone is well-informed about all activities at our establishment. I have attached all old permits and new diagrams that need to be submitted for the coming year, as requested by Magnolia Blackwood.
